What is NetSuite optimization?

NetSuite optimization is the work of getting more out of a live, working account: faster saved searches and dashboards, workflows that automate instead of fight each other, a chart of accounts and segmentation that reports cleanly, roles that match the org chart, licensed modules actually turned on, and a month-end close that lands in days instead of weeks. It is configuration work on a healthy system, not a rebuild. The starting point is a diagnostic pass across the account, and what a project takes comes down to scope: how many layers need work, how many users and modules are in play, and how deep the fixes go. If your go-live never stabilized, that is a different job, covered on our NetSuite rescue page.

Who this is for

Live on NetSuite, ready for more from it.

Optimization is for companies whose NetSuite is up and running but leaving value on the table, from a single entity to a complex multi-subsidiary structure. If any of these sound familiar, a health check is worth 30 minutes.

The close creeps

Month-end runs longer each quarter. Reconciliations, accruals, and consolidation still lean on spreadsheets sitting beside the ERP that was meant to absorb them.

Everything feels slow

Saved searches spin, dashboards crawl, reports time out. The team blames the platform when the cause is almost always search logic, portlet load, and script scheduling.

Paying for shelfware

Full user licenses assigned to people who only enter time. Modules bought in the original deal and never switched on. Real spend on capacity nobody touches.

The offer

Start with a free 30-minute NetSuite health check.

Before anyone talks about a project, we look at your account. The health check is a 30-minute working call: you show us the parts that hurt, the slow searches, the close, the reports that time out, and we tell you what we see and what to fix first.

The honest version of this offer is the whole point. We will tell you what we find, even if the answer is that you don't need us yet. Sometimes the fix is a setting you can change in an afternoon. Sometimes it is a two-week cleanup. Sometimes it is a broader optimization program. You get the read either way, and you keep the notes.

One important distinction

Optimization tunes a working account. Rescue fixes a broken one.

This service assumes NetSuite is live and functioning, and you want it to do more. That is a fundamentally different job from recovering an implementation that stalled, that another firm abandoned, or that went live with balances that never tied out. Those problems need diagnosis and correction before any tuning makes sense, and forcing them into an optimization frame wastes your money.

If your implementation actually failed or never fully landed, start on the right page: NetSuite rescue covers stalled and failed go-lives, including work another partner walked away from. Not sure which side of the line you are on? The free health check will tell you plainly.

What an engagement covers

Seven layers we audit, then optimize.

An optimization engagement works through a healthy account layer by layer, worst-offender first, so the highest-impact gains land early. Here is the map. The full checklist, with what "good" looks like at each layer, lives in our NetSuite optimization checklist.

1 · Data integrity

Duplicate records, drifting reconciliations, and subledgers that no longer tie to the GL. The layer that quietly distorts every report above it, so we clean it first.

2 · Chart of accounts & segmentation

A bloated or inconsistent chart of accounts, segments that fight the way you report, and departments, classes, and locations that never settled. We restructure so dimensional reporting is clean without a rebuild.

3 · Searches, reporting & SuiteAnalytics

Saved searches that scan too many records, dashboards heavy with slow portlets, and SuiteAnalytics workbooks nobody trusts. We rewrite the logic and build reporting your team actually uses.

4 · Workflows & approval automation

Redundant or conflicting workflows firing on every save, approval chains that stall, and SuiteScript doing jobs a native feature would handle. We consolidate the automation and script only what has to be scripted.

5 · Roles, permissions & security

Over-permissioned roles, segregation-of-duties gaps, and access that no longer matches who does what. We tighten role hygiene to what the org chart and your auditors expect.

6 · License & module utilization

Who sits on a full license but only enters time, and which licensed modules you never turned on. We right-size the license mix and switch on capability you already own.

7 · Integrations & data flow

Connectors that silently drop records, duplicate orders, or lag behind. We check every hand-off between NetSuite and Shopify, Salesforce, 3PLs, and banks so the data you close on is the data that is real.

Performance

Why NetSuite is slow, and what actually fixes it.

"NetSuite is slow" is the most common complaint and the most misdiagnosed. The platform is rarely the limit. Performance lives in how the account is built, and three things account for most of it.

Saved searches that scan too much

A search joining across half a million records with no indexed filter, or returning every column when the dashboard needs four, will drag a page from two seconds to thirty. We rework the criteria, push filtering to the fields NetSuite can index, trim result columns, and replace formula-heavy criteria that force full-table evaluation. The same data, a fraction of the load.

Script governance and scheduled load

NetSuite meters every script against a governance budget of usage units. Scheduled scripts and map/reduce jobs that all fire in the same window compete for the same queue, so the nightly run backs up and users feel it in the morning. We profile what runs when, stagger schedules, move eligible logic to map/reduce for parallelism, and cut governance waste inside the scripts themselves so nothing starves.

Dashboards and portlet overload

A landing dashboard stacked with reminder, KPI, and saved-search portlets runs every one of them on load. We prune to what people use, convert heavy real-time portlets to lighter refresh patterns, and the home page stops being the slowest screen in the account.

The close

Month-end close acceleration, done right.

"Your close is slow, we will speed it up" is a claim, not a plan. A close does not shorten because someone declares it should. It shortens when you find where the days actually go and attack those drivers with the right configuration.

So we measure first. In most finance teams the time sits in four places, and each has a specific lever inside NetSuite:

Where the days goWhat actually moves it
Reconciliation volumeBank and account reconciliation tools with rules-based matching, so cash, clearing, and control accounts reconcile continuously instead of in a manual scramble at close.
Manual journal entriesAmortization and revenue recognition schedules, plus allocation schedules for recurring accruals and cost spreads, so entries post on a defined cadence rather than by hand each period.
Intercompany transactionsAn intercompany framework with automated pairing and elimination, so cross-entity activity nets correctly without the spreadsheet reconciliation that eats close week.
Subsidiary consolidationConsolidated reporting configured on the real subsidiary hierarchy and currencies, so the roll-up is a report you run, not a workbook you rebuild every month.

On top of those, a period-close checklist enforces the order of operations and locks each step as it clears, so nothing is missed and nobody reopens a closed period by accident. The result is a close measured in days, and more importantly a close you can trust the first time. If your close problems trace back to broken data or a half-finished go-live rather than configuration, that is rescue territory, and we will say so.

How an engagement runs

Diagnose, prioritize, optimize, stabilize.

Optimization runs on four steps. We fix the highest-impact issues first, so you feel the difference before the project is finished, not only at the end.

Step 1

Health check

30 minutes, free

A working call to see the pain points live and read the account across the seven layers. You get the findings whether or not you go further.

Step 2

Diagnostic audit

Scoped project

A full pass through the seven layers with a prioritized findings list showing impact, effort, and the fix for each item, ranked worst-offender first.

Step 3

Optimization

By priority

We tune in priority order across searches, workflows, data, config, close, and licenses, validating each change so the account stays live and stable throughout.

Step 4

Stabilize

Handoff

Documentation, a clean list of what changed, and an optional move to managed services so the account stays healthy after we step back.

What it costs

What drives the cost of a project.

Every engagement is scoped to your account after the health check, with no blind quotes. Where a project lands comes down to a handful of things, not a fixed menu.

Cost driverWhat moves it
Scope & layersHow many of the seven audit layers need work, from one targeted fix to a full multi-layer optimization
Users & modulesHow many users, roles, and NetSuite modules are in play across the account
Data & integrationsThe state of your data and the number of connectors that hand off to and from NetSuite
CustomizationHow much SuiteScript, workflow, and custom configuration has to be reviewed, corrected, or rebuilt
Close complexityEntity count, currencies, intercompany volume, and consolidation depth, which set how much close-acceleration work is involved

Optimization FAQ

Questions, answered directly

What is a NetSuite health check?

A NetSuite health check is a structured review of a live account across data integrity, financial configuration, report and search performance, automation, roles and permissions, license and module utilization, and integrations. Our health check is a free 30-minute call: we tell you what we find and what to prioritize, even if the answer is that you don't need us yet.

Why is my NetSuite so slow?

Slow NetSuite usually comes down to configuration, not the platform. The common causes are saved searches that scan too many records with unfiltered joins, dashboards stacked with heavy portlets that all run on load, scheduled and map/reduce scripts competing for the same governance window, and redundant workflows firing on every save. Rewriting search logic, staggering script schedules, and trimming dashboards typically turns a slow page into a fast one.

How do I know if I need NetSuite optimization?

Common signals: month-end close is getting longer instead of shorter, teams have reverted to spreadsheets for work NetSuite should handle, saved searches and reports time out, roles have drifted from the org chart, or you are paying for licenses and modules nobody uses. A free 30-minute health check will tell you whether the problem is worth a project or a setting change.

Can NetSuite optimization actually speed up my month-end close?

Yes, but only by targeting the real drivers rather than declaring the close slow. The time usually sits in reconciliation volume, manual journal entries, intercompany transactions, and subsidiary consolidation. Targeted configuration moves the needle: bank and account reconciliation tools, amortization and revenue recognition schedules, allocation schedules for recurring entries, an intercompany framework, and a period-close checklist that enforces order. We measure where your days actually go before changing anything.

What drives the cost of a NetSuite optimization project?

Scope, not company size. What moves it is how many audit layers need work, how many users, roles, and modules are in play, the state of your data and integrations, and how much SuiteScript and custom configuration has to be reviewed or rebuilt. Every engagement is scoped after the health check, so you never get a blind quote. For current market ranges, see our NetSuite pricing guide and consultant rates.

My NetSuite implementation failed. Is that optimization?

No. Optimization assumes a working account you want to get more out of. If your go-live never stabilized, balances don't tie, or another firm walked away mid-project, that is a rescue engagement, which starts with diagnosing what broke before any tuning. See our NetSuite rescue service for stalled and failed implementations.
